Pre-Event Setup

  • Venue preparation (tables, chairs, linens, décor placement)
  • Table setting (glassware, flatware, napkins, place cards)
  • Bar setup (stocking alcohol, mixers, garnishes, ice)
  • Buffet or plated service station setup
  • Coordination with vendors (caterers, planners, DJs, photographers)
  • Equipment checks (lighting, AV, microphones if applicable)
  • Reviewing event timeline and service plan with team

Guest Arrival & Hospitality

  • Greeting and directing guests
  • Coat check or personal item assistance
  • Offering welcome drinks or hors d’oeuvres
  • Assisting with seating arrangements
  • Providing general information and guidance

Food & Beverage Service

  • Serving plated meals or managing buffet stations
  • Passing appetizers during cocktail hour
  • Refilling drinks (water, wine, cocktails)
  • Monitoring dietary restrictions and special requests
  • Clearing plates and resetting tables between courses
  • Maintaining cleanliness and presentation of service areas

Event Coordination Support

  • Following the event timeline (toasts, speeches, cake cutting, etc.)
  • Communicating with the event planner or coordinator
  • Assisting vendors as needed (e.g., cake delivery, floral adjustments)
  • Managing transitions between event phases (ceremony → cocktail hour → reception)

Guest Experience Management

  • Addressing guest needs or complaints promptly
  • Assisting elderly or disabled guests when needed
  • Keeping service discreet, professional, and attentive
  • Monitoring overall atmosphere and flow

Bar & Beverage Management

  • Mixing and serving drinks (if licensed/bartending)
  • Tracking alcohol consumption and guest safety
  • Restocking bar supplies throughout the event
  • Ensuring compliance with local alcohol laws

Cleanup & Breakdown

  • Clearing tables and removing linens
  • Packing up décor, rentals, and leftover items
  • Cleaning service areas and disposing of waste properly
  • Assisting vendors with breakdown and load-out
  • Final venue walkthrough to ensure nothing is left behind

Post-Event Duties

  • Inventory checks (equipment, rentals, supplies)
  • Reporting issues or damages
  • Debriefing with team or coordinator for improvements
